Terms & Conditions

Thank you for considering Always by Sarah. My aim is to provide a relaxed, enjoyable photography experience, whether your session takes place in your own home or on location.

These Terms & Conditions apply to all photography sessions booked with Always by Sarah. By making a booking, you confirm that you have read, understood and agreed to these Terms & Conditions.

Booking & Payment

A non-refundable booking fee of £50 is required at the time of booking to secure your chosen date.
Your booking is not confirmed until the booking fee has been received.
The £50 booking fee is deducted from your total session price.
If you book online, you have a 7-day cooling-off period from the date of booking, during which you can cancel and receive a full refund of any payments made. If you request for your session to take place within this 7-day period, the cooling-off period ends once the photography service has been fully provided.
The remaining balance must be paid at least 72 hours before your session.
If the balance is not received by this deadline, I reserve the right to cancel your booking without a refund of the booking fee.

Cancellation & Rescheduling

If you need to cancel or reschedule, please provide as much notice as possible.
Two complimentary reschedules are offered when at least 72 hours' notice is given.
If you need to reschedule more than twice, or request a change with less than 72 hours' notice, I reserve the right to request a new £50 booking fee to secure a new date.
If you cancel within 72 hours of your session, payments made beyond the booking fee may be non-refundable unless the date can be rebooked.
If I need to cancel due to illness, emergency or unforeseen circumstances, you will be offered either a full refund of any payments made or the opportunity to reschedule.
If your session is outdoors and the weather is unsuitable, I may need to reschedule. I will always discuss this with you beforehand.

Pregnancy & Pregnancy Loss

Pregnancy sessions are booked around your estimated due date and the stage of pregnancy discussed when booking.
I understand that pregnancy and becoming a parent can come with unexpected circumstances. If you experience a pregnancy loss or a significant change in your circumstances, please contact me whenever you feel able.
In the event of pregnancy loss, I will offer to transfer your booking fee and any other payments made towards another session, or provide a refund, depending on what feels right for you.
There is no pressure to continue with or rearrange your session following pregnancy loss. I will always handle the situation with care and respect.

Location & Travel

Sessions take place at home or on location, using natural light.
For at-home sessions, I simply ask that areas being photographed are reasonably tidy, but your home does not need to be perfectly styled.
For outdoor sessions, the location may be changed if weather or other circumstances make the original location unsuitable.
Sessions within my standard service area are included in the session price. Additional travel costs may apply for locations outside this area, and I will always let you know about these before your booking is confirmed.
Any parking fees, tolls or other location-specific charges will be discussed with you in advance and may be added to your session price.

Lateness

Please aim to arrive at the agreed time for your session, or be ready for me to begin if your session is at home.
I completely understand that things don't always go to plan, especially when little ones are involved. If you think you are going to be late, please let me know as soon as possible.
If you arrive late, I will do my best to use the remaining session time, but I cannot guarantee that the session can be extended beyond the agreed finish time.
If you arrive so late that the session can no longer reasonably go ahead, a new booking fee of £50 will be required to arrange another date.

Safety & Illness

The safety and comfort of everyone attending the session always come first.
Parents or guardians remain responsible for supervising children throughout the session.
No pose or photograph will be attempted if I believe it may compromise anyone's safety or wellbeing.
Sessions can be adapted to allow for feeding, changing, breaks, cuddles, settling or anything else needed.
If anyone attending the session has a contagious illness, please let me know as soon as possible so we can rearrange your session.
I will also reschedule if I am unwell to help keep everyone safe.

The Session & Image Delivery

Sessions are relaxed and focus on genuine connection rather than perfectly posed images.
I will gently guide you throughout your session, but I cannot guarantee specific poses, photographs, smiles or cooperation from children.
Every session is different, and I work patiently to create a gallery that reflects you and the people you love.
Your professionally edited online gallery will normally be delivered within 1–2 weeks of your session, unless otherwise advised.
Images are carefully selected and edited in my signature style.
RAW (unedited) files are not supplied.
Additional editing requests outside my standard editing style may incur an additional charge.

Copyright & Image Use

Copyright of all photographs remains with Always by Sarah.
You are granted a personal-use licence to download, print and share your images with friends and family.
Images must not be altered, heavily edited or filtered without written permission.

Portfolio & Privacy

I love sharing photographs from my sessions on my website and social media. Unless you request otherwise before your session, I may use selected images for my portfolio, website, social media and promotional material.
If you would prefer your photographs to remain private, simply let me know before your session and I will always respect your wishes.

Image Storage & Liability

Final edited galleries will be available for download for approximately 3 months after delivery. Please download and back up your images promptly, as long-term storage cannot be guaranteed.
Every reasonable care is taken to protect your images and equipment. However, in the unlikely event of equipment failure, data loss or circumstances beyond my control, liability is limited to the total amount paid for your session.
Your personal information will be collected only for the purposes of managing your booking, communicating with you, delivering your gallery and providing my photography services.
Your details will be stored securely and handled in accordance with UK data protection legislation. Your personal information will not be sold or shared with third parties for marketing purposes.
